[Marketing] Application for funds

Hi,

December 2011 we started the Dutch local chapter, OSGeo.nl.
Our first big event will be the Geospatial World Forum (GWF) hosted
23-27 april in Amsterdam. OSGeo.nl has put together an open source
track for the GWF. We will also present ourselves at the exhibition.
We'd like to have good marketing materials, like a banner, an overview
poster and Live DVD's (we already have business cards and leaflets).
I'd like to apply for funding, as OSGeo.nl doesn't have any funds or
sponsors of it's own yet. Can you please tell me how we can obtain
funding? We estimate that we need 900 euros (= approximately 1200
USD).

Unfortunately the marketing committee is mostly inactive, with most of the previously active participants focusing on the osgeolive community. Maybe you would like to help get it going again?

I recommend that you approach local business or government with an interest in Open Source to help your funding requirements. We do have graphics for marketing material which we can point you at, if you find budget.

The next steps for the (currently sleeping) marketing committee are:
1. Find out from the board how much money is available for marketing activities.
2. Based upon such allocation of money, specify a strategy on how this can be spent. Ie, what is considered in scope and what is out of scope.

As background, conferences are expensive to support and sponsor, and each country has 10 or more key conferences they could attend per yer, and there are 100s of countries.
Typically:
* Booth cost for the conference, including a free ticket or 2, is ~ $4K. If you cry poor, you can sometimes get a booth for free.
* LiveDVDs cost ~ $2/DVD, = $1K per conference. So far, we have only handed out DVDs to conferences where the conference organisor pays for the DVD (out of delegate price)
* I'm not counting travel costs yet
* So to support conferences around the world, we are looking at around $5K x 100 x 10 = $5 Million. I suspect we don't have that much spare cash floating around?

As a starting point, I suggest we provide each chapter with a "Basic Starter pack" of non-consumables as per:

Something up to $1K per local chapter. It will then be up to the local chapter to work out how they find funds to support their local events. (Crying poor is a very effective ploy, especially as Open Source is a very desirable stream in many conferences and the organisors want us there).

Having an official looking banner, table cloth and other items (like
reference in these links:
http://wiki.osgeo.org/wiki/Operate_OSGeo_Booth and
http://wiki.osgeo.org/wiki/FOSS4G2011_OSGeo_Booth) can really help a
local chapter by looking official, well organized, and part of a
larger international organization. These items (provided by OSGeo a
few years ago in our case) have greatly helped the local PDX-OSGeo
chapter. I think that Cameron's idea of a starter pack is a good one.

I offer a different opinion of the math based on our experiences which
are after a few years conferences often seek us out to give us a free
table/booth or even a whole track.

As a starting point, I suggest we provide each chapter with a "Basic Starter
pack" of non-consumables as per:

Something up to $1K per local chapter. It will then be up to the local
chapter to work out how they find funds to support their local events.

Hi Cameron,

What is it you want to convey with your message? :wink:

It is clear that OSGeo does not have the means to sponsor an unlimited number of conferences around the world. However, as in the past, we have sponsored events around the world by providing the starter pack you described. What Willy is asking for is indeed money (or materials if they are already available) for such marketing materials so that we can properly represent OSGeo at local conferences in The Netherlands. I think that's a good cause to "sponsor" out of OSGeo Marketing budget indeed.

We are working on making OSGeo.nl a legal entity which in the long run will allow us to attract local sponsors to support marketing and events. But for now we don't have such entity set up while we are in dire need for marketing materials or funds to have them printed locally.

The aim of my email is to align expectations about what osgeo should and can sponsor against the reality of OSGeo Marketing budgets. (One of our prior marketing budgets was $30K for the year. Compare that to an extrapolated expectation of $5 million mentioned below).

What next:
1. I'd like to see the OSGeo board discuss how much budget they have available for marketing, and I've provided a idea of what I think the highest priority item for spending, namely a starter kit.

2. If we want to see a marketing committee be effective, then some people need to step up and help out. I'd suggest that people wishing to make use of marketing $$ would be possible volunteers.

3. Then we can move forward and start handing out money to worthy events.

The GWF will take place the last week of this month. How soon can I expect an answer from the OSGeo board regarding the application for funds? Time is running out. If it takes a long time to come up with an answer, we’ll inform the GWF exhibition committee that we do not require a booth at the conference exhibition. Still, for the next event (June 28th) we also are in need of good marketing materials.

We really need a better link to this! It includes $5000 USD for
marketting to spend on events support, and $10000 USD for a "new
contents initiative" (preparing new marketing materials like
white papers).

Spending within these limits does not require further approval from
the board. It can be decided by the Marketing committee. While it
hasn't been all that operational recently the last set of members is

Perhaps one of those members would be interested in raising a motion which
could be discussed a bit and then voted on?

While I am not a member, I think the request is reasonable. I'm just
tempted to ask that the OSGeo.nl folks be willing to loan out the
materials to other nearby OSGeo chapters or events if needed. Note that
at $1200 USD it would represent roughly 1/4 of the available events
budget.

I talked to Willy a few days ago and it boils down to a starter kit
like Cameron suggested. I would refrain from paying for booth or
admission out of OSGeo funds. But if there is a chance to help a Local
Chapter with non-consumables like a starter kit I am all in for it.

For OSGeo.nl it is a bit of a chicken and egg situation right now. If
there is a starter kit then OSGeo.nl will ask GWF to get a corner to
set it up (not a full fledged booth but more like an info stand). If
OSGeo.nl knows that they will not be able to get a starter kit in
place they will not bother asking for the stand. For the next event
OSGeo.nl will definitely need the stuff because a full fledged free
booth has already been dealed out with the organizer.

With two events coming up within short time I'd say this is a great
chance to get things off the ground. I'll put together a motion to
this effect.
