[Marketing] Coordinate on last moment Letter Information Sheets

We have a few too many email threads, private emails asking for information and chats - it must be foss4g time!

Please coordinate with the this google doc and the marketing email list (and not Pim he needs to focus on the website, his part in printing is done).

FOSS4G 2nd Print Run

Here is the state of play.

Q: What projects sheets are to be printed?

We asked for budget to print 10 additional project sheets.

Luca is coordinating, we have had a surprisingly strong response. The answer is not known until tomorrow - as many teams are just making them now. Indeed GeoSolutions just volunteered a graphics designer to produce one for GeoServer in time for tomorrows deadline.

Luca is the point of contact here and will provide the final set of US Letter PDFs. Luca has assembled a folder here:

To_print_Boston

Notes:

  • We have 8 now with 4 ready to be finished
  • Some of those say “a4”, Luca will need to reject them as we can only print Letter
  • I had hoped people would provide pull requests (so we could review and provide feedback)
  • All of them are making the same background graphics mistake
  • But we will take what we can get, so nice to have content and enthusiasm

Q: Are there Also general OSGeo double page letterhead-size folders printed at the same time with the same printshop?

Have to use an Australian term to answer this “Ya - na”.

The first print run you outlined Marc, with the $1500 budget is done:

Peter Wheeler was able to do this, printing slightly more than you planned, for $1300 or so. This has been printed and delivered to Guido’s office.

  • rollup banner 1
  • rollup banner 2
  • 8 page brochure letter
  • osgeo information sheet letter x 1000
  • geoforall information sheet x 1000
  • osgeo live letter x 1000
  • grass information sheet x 100

FOSS4G Printables

Jeffrey Johnson, is printing stickers via Sticker Mule to arrive Wednesday, and is sending some he already had to arrive earlier.

Q: Suggested amounts per project sheet and folder?

I looked up costs at the local “staples” print shop and arrived at an estimate of $48 to print 150 pages.

The store is located here: https://storelocator.staples.com/stores/en_US/MA/Boston/0063

Q: Please advice asap in order to have a budget estimate and idea for me of total weight to schlepp around Boston?

The budget was requested of $500, which would be enough to print 10 information sheets for 10 additional projects.

This budget is not yet approved, can I ask Marc to total the votes and decide if it passed or not. Perhaps hold off deciding until we get a final number of information sheets, in case the budget needs to be adjusted.

Q: Are we printing tshirts?

No there was not time, we can withdraw that motion.

Q: Who is printing?

So far we have the following volunteers:

  • Jeffrey Johnson - has USD credit card and order from staples remote
  • Michael Smith - has OSGeo USD credit card and can avoid doing the expense process with treasurer@osgeo.org
  • Marc Vloemans - because he is in Boston early and is a nice guy
Q: Who is picking up printing?

Marc Vloemans - because he is in Boston early and is a nice guy.

Q: Shall we make a list in the wiki with links?

You are correct that there are too many emails, when we are done we can make an exhibition pack landing page (probably a README in github where the PDFs are stored).

For now please use the following google doc for coordination (this is a temporary document and google docs are faster than a wiki and allowing two people to type at once).

An additional question from IRC.

Q: Who is reviewing pull requests?

Luca is reviewing / merging. If you see a pull request come in feel free to review and help out.

Example:

Example feedback:

  • Please use the green triangle shape for bullet points

  • Recommend rewriting this section - The information sheet invites people to use your application, not join your community. We can ask them to join later!

  • Please use a full color project logo, we are printing in color and it will stand out

  • Recommend use laptop frame around screen snaps for consistency with other handouts

  • Recommend focusing on project capabilities as this information sheet is for GIS Professionals; you can tell them about project history in person.

Tips:

  • Try and use “recommend” (for optional feedback) and “please or require” for mandatory i-won’t-merge-this-until-it-is-fixed review.

  • Use markdown “- ” and “- ” check lists to keep track of feedback being addressed

The repo is set up so that a review MUST be performed prior to merging; I know forcing communication

Can you be kind and create pull requests for them? It is sometimes hard for
people not experienced with git.

- All of them are making the same background graphics mistake

The background gray triangles are design components of the OSGeo compass
logo. This makes sense for the OSGeo information sheet.

When switching to a project information sheet with its own logo, we should
take design components of the project logo and use them as light gray in
the background.

The idea is that from six feet away you can see the faded project logo, but
when you are close it is light enough it does not get in the way of reading.

I know this was not clear because of the two examples we used to start out
with; and now we have seen it so much we probably like the gray triangles.

ah ok, I also didn't understand completely this... however now it is a
little bit late to change all the sheets

I think that would be smart, so people can grab and print individual sheets
from github.

Agreed, it was one of the feedback from Pim in a weekly meeting. While I am
sure I took notes I did not make an example leading to our unplanned visual
consistency.

I did all the pull request (GDAL and ZOO-Project are missing because I
already modified them in the other computer, I will pull request them
later)

Could you review? but I will not able to do any changes before Marc
will go to the printer shop

For pgRouting, I added to the Google drive folder the last pdf file,
also if I don't like it to much, but I prefer to be inclusive and we
could review it better later..

We may end up doing a review with pen and paper during the event.

The geoserver info sheet was merged yesterday. Some sentences are split over lines but we can print it as is. Not in your google drive folder yet.

Hi all,

···

Arrived in Boston.

Printshop is open on sundays. Will take the pdf’s from the Google Drive.
As the amount (max 150 per project) is somewhat heavy to schlepp around, I will find a way to get them to venue by wednesday latest.

Kind regards,

Marc Vloemans
