[Marketing] draft response to shortlisted agencies

Quick heads up - the response to shortlisted agencies did not go out over the weekend, so we will need to draft up a letter to send.

What do we need to say:

a) start a good doc so we can comment/collaborate faster than the wiki
b) outline the letter details (what we are requesting finance / technical / schedule variations)
c) have a paragraph specific to each response thanking them for the parts they did really well (samples above and below our budget, explicitly answering acceptance criteria, hunting down our logos for use in their EOI).

Please respond to this email with anything I missed? If you have time create the document (and send invitation privately to marketing committee members).

multiple family medical issues in the past several days and trying to
juggle normal work as well.

I have personalized each reply (using organization initials and colors so you can see what to send). On close review (when personalizing each reply) a couple of the responses impressed me more.

  • I have pushed the response date back until the 20th, due to our delay in requesting proposals.
  • I added your name / marketing committee at the bottom of the letter

One batch of changes I have held back on is the use of “proposal” vs “some more details”. I am under the impression nwe are formally asking for proposal at this time (including financials, technical and schedule) - and the next step after this is contract negotiation.

If that is correct I recommend we tignten up the letter still further to use the word “proposal” and have a solid deadline at the end of the month.
