[Marketing] Get Interactive Workshop at FOSS4G Boston

Hi Guido,

Following the outcome of the tender we had a Kick-Off meeting last Tuesday. During our meeting, Jody Garnett and Jeffrey Johnson pointed out one of the milestones; the FOSS4G conference in Boston and they suggested we contacted you directly.

It would be greatly appreciated if you could provide us with some information regarding the conference in Boston for us to start preparing for the one-day-workshop we are requested to organize.

Please could you advise on the following points:

  • What day and time is the FOSS4G workshop scheduled for?

  • Which day can we be scheduled?

  • Who supplies the workshop materials? (beamer, computer/notebook, cables, etc.)

  • How long are the workshops?

We would appreciate your help in this matter, and we look forward to working with you.

Quick note that “workshops” are four hour hands-on-training activities that people pay for. We may need to use a different word for this activity of attendees will think “I do not want to pay for that” and not attend.

There are three clear spots I can see:

  • OSGeo has an “annual general meeting” where the different groups say hello and give a quick update. I have added several “website/rebranding” topics into this meeting to talk/show different parts of the website.
  • There is an evening “birds of feature” time blocks that could be used
  • There is a “code sprint” day

We could also rent additional facilities and put on a free activity concurrently with the foss4g workshop days (but many people who are not paying for workshops will not be in town yet).

I can certainly talk to Harvard CGA about getting a space there, but
obviously closer to the action would better.

Should we call it a 'focus group' or 'working session' or something
else so as not to introduce confusion?

I am happy to make this happen and will find the space, I just need you all to give me a little time to finish up with the programming ant the early bird registration, then I will circle back and help you organize this. Early bird ends on the 15th of May, then I will be free to make this happen.

So, with that in mind, plan as if you have the space you need… but let me know what space you need and when you think you would like it.

A good standoff, we do not want to be in the way if all the other good things … but we are one of the good things!

Three options:

  • I like the idea of running currently with the workshops, running the same 1 hour workshop repeatedly during the day as a “drop-in”. Downside is not many people will be at the conference yet.
  • I like the idea of running concurrently with code-sprint (visiting each project team), but once again most people will of gone home
  • I am not sure how to effectively do something concurrently with the conference:
    a) I like the idea of taking two BOF slots for drop-in website bootcamp - but it is hard to compete with BOF+drinking activities
    b) Doing the high-level update in the AGM is fine, but does not offer hands-on
    c) need another idea here?

If you want to get a group of people together an already packed conference, you can usually find a 1 hour slot at breakfast time for a “Birds of a Feather” type meeting.

To involve newbies in a Code Sprint, one thing that would be really valuable is to have them QA the OSGeo-Live quickstarts. Many of the Quickstarts are dated, although we are not sure which ones. If you could get newbies to run through the quickstarts, have them list what they have checked, have them raise tickets against issues, if they are keen, have them update screen shots. It requires someone familiar with development practices and ideally familiar with OSGeo-Live to coordinate.

OSGeo-Live also has a very good basis for creating a OSGeo workshop for newbies. (Basically pick a few quickstarts, and run them).

Feel free to reach out to us if you want to progress these ideas further.

Cameron - breakfast is indeed a timeslot to talk to peope (if you feed them).

In this case we are specifically looking to introduce community members (local chapters, geoforall and project teams) to the new website and how they can use it to communicate to the outside world.

You are correct that the OSGeo live quickstarts form great “installfest” material for end-users. That is not what we are looking for today.

Don't call it a workshop (in the classic FOSS4G meaning), it's a a codesprint
for equivalent for non-coders!
Finally we "non-coders" have a reason to join the famous Foss4G codesprint
sessions before and after the core conference.
And during the conference, a presentation slot to show both the process and
the by then already achieved goals would be very useful.

Btw. not sure whether I'll show up in Boston. Still looking for a way to get
enter the Fortified States of America without having my smartphone turned
inside out by the customs, and giving away my osgeo.org passwords :wink:

Ok, I agree the term 'workshop' is misleading in the context of
FOSS4G. Lets call it a content-sprint ... with the stated goal to add
and edit content on the site and make sure folks are configured to do
so themselves when they leave.

I think it makes sense to hold it during the normal conference, even
if its just a place folks can drop in during the day when they have
time. Would be good to announce it to the entire group as well (and
maybe intro the site). We can continue to work during the normal
code-sprint as well.

Cant make any apologies for our new administrative policies here in
the US, but whatever you do, certainly don't give them the passwords
to edit the website! or (horror!) commit to a repo :wink:

one of the milestones; the FOSS4G conference in Boston and they suggested we
contacted you directly.

It would be greatly appreciated if you could provide us with some
information regarding the conference in Boston for us to start preparing for
the one-day-workshop we are requested to organize.

Please could you advise on the following points:

What day and time is the FOSS4G workshop scheduled for?

Which day can we be scheduled?

Who supplies the workshop materials? (beamer, computer/notebook, cables,
etc.)

How long are the workshops?

We would appreciate your help in this matter, and we look forward to
