The Marketing Committee is currently in the process of enlisting quotes for the OSGeo rebrand and website from various agencies that we have selected from the EoI. Due date for these quotes is 10 february 2017. After which we will to choose the agency that will carry out the work in order to have the project finished in time for FOSS4G2017.
As we have understood, the Board has approved an initial 30K for this initiative. In order to arrive at the original budget request of 50K, we suggest to:
carry over the remaining 12K from the Marketing Budget 2016
assign the 8K as not required by the SAC to the Marketing Budget 2017
Thus we arrive at a total of 50K as a maximum for the initiative.
On behalf of the Marketing Committee I ask you for a formal apporval of the above.

Update: Gaia3D has sponsored the website/rebrand for $1000 USD. The website has been updated accordingly (so vendors can use their name and logo in design mockups).

Hmm, I thought we had submitted our budget for the year via Jody and Angelos?
If you take away that money, it might mean no new server to host the new website this year.
Apologies if I missed some official method I was supposed to follow for submitting our budget.
Thanks,
Alex

This 8k was “above and beyond” what was requested by the SAC committee.
During the budget meeting the board was unsure if the budget requested by SAC took into account the website/branding refresh - out of caution we allocated 8k in the event SAC needed the money to support the effort (with additional T&M contract for example to work with selected vendor).
The budget requested by the SAC committee remains unaffected. Subsequent email indicated that SAC was not concerned about any additional website/branding refresh overhead (being happy to stand up drupal / wordpress / whatever with budget requested).
Note the board has budgeted 15k for SAC:
This is slightly more then the last years 13k as we are still assuming additional effort will be required for the website/branding refresh
Last year sac spent 6k, leaving 7k remaining.
This should leave SAC with an additional 10k to work with over and above last year).
Final reminder budget is our planning for the year, over the course of the year a strategic change may change our plan. Last year we funded more code sprints then expected, in part because they turned a profit allowing us to run more code sprints, and in part because other committees were not active.
Alex does the above make sense? I am happy to walk through the budget with any committee chair who wants to; although i would like to wait for the wiki to be updated (and don’t have time to do that myself).

Alex here is the email I sent to SAC after the budget was approved:
Doubling back to this thread after recent budget discussion/questions. The board set a goal of redoing the website presence in 2017 (RFQ,content migration, etc…). It was unclear if the 15K request from SAC took this into account or not?
* Although we reached out to Alex Mandel it was unclear if the 15K request from SAC took this initiative into account?
Since it was unclear we have penciled in 8K for SAC as part of budget/fundraising target. The draft budget https://wiki.osgeo.org/wiki/OSGeo_Budget_2017 has the high level outline.
Should fund raising target be met by end of January go/no-go the final budget for SAC would be 23k. It would be great if a member of SAC could be involved in the EOI / RFQ process (and present for the go/no-go decision).
So while it would of been nice to contact you for clarification prior to the budget meeting I hope you find the board’s decision above appropriate

Excellent, and you had communicated that on the SAC mailing list.
Can I please ask that someone from SAC (yourself?) join the marketing committee for the purpose of reviewing the responses mid month. They can step down after this activity is done of course
Ah, first I heard of this additional reserve. You are correct SAC has stated that we included the cost of hosting the new website in our existing 15k request (5k is the osgeo3 replacement which would be it’s home), and little additional cost because we already host Drupal and can easily do WordPress. Now if the vendor comes back with something more exotic, we might have to talk again. As noted in previous conversations SAC would like to be involved in the technology side of the conversation to make sure it’s something we can maintain.
Thanks,
Alex
