[SAC] FOSS4G domain mail server

Dear OSGeo SAC,

The FOSS4G 2021 LOC wants to send emails with the "2021.foss4g.org" or
"foss4g.org" domain, whatever is easier for you.

The kind of mails we are going to send are both simple emails and
enriched emails sent in batches (like mailing lists to people
interested in FOSS4G and current year's attendees).

Does OSGeo have a mail server we can use for this?
If not, would SAC host a mail server for this?
If not, the LOC can host a mail server somewhere and ask SAC to point
the subdomain MX to our server.

We are aware of the difficulties of hosting a mail server, so we are
open to leverage SAC from this task.

We are fine with any solution, as long as we are able to send
marketing campaigns and ticket sales emails reliably (that are not
lost, bounced back because the size of the attachments is too large,
etc...).

We do have infrastructure for handling the mailing domain, at least I assume we can use the same infrastructure as the @osgeo.org emails. As for the Foss4g marketing management that is being discussed, that would require additional tools as mentioned in that thread.

As for simple emailing, we only offer alias, no inboxes, and the list service. Are you interested in those features?

But I don't think an alias could work on our case. Because for example
GMail has a limit of sending mail that doesn't fit our needs (500
emails per day, which in some cases will not be enough). So if the
email is sent by GMail instead of OSGeo, it won't fix our issue. We
are looking for a limitless mail server.

A mailing list is not very compatible with privacy laws (sending lists
of emails back and forth, adding them to mailing lists automatically,
etc...).

In that case I would ask for dns MX redirection to some server we set up.

Hi!

I just created a ticket for this:

This is the last thing pending before opening ticket sales. Our fault,
I know, our plan A didn't work out and we didn't notice until too
late. But as this is the last block, we would really appreciate it if
we could have some estimated time of resolution to know if we should
set up a temporary mail server in the meantime.

If someone on your team is capable of setting up a mail server for this, we can easily make a container or give them access to one. No need to temporarily do it somewhere else. As with most things the limitations are person time.

Regina or Sandro, do you have thoughts on a solution?

We have the same limitation. Our alternative would be paying for the
Amazon SES service and sending emails through that.
