[SAC] SAC requests GetInteractive contract for Web Migration

Venka and the OSGeo Board,

The OSGeo Systems Administration Committee has approved contracting with
GetInteractive to move the new beta website site over to a virtual
server managed by OSGeo.

4 hours at a total cost € 320,- ex. VAT.

We'd like this payment to come from the $3000 USD budget the board
allocated to the new website. My understanding is that the President
needs to sign off on this contract. Jody can provide more details if needed.

An additional portion of those funds will be spent on cloud hosting
service to facilitate a quick move, that has already been taken care of
by the Treasurer.

Not sure I have any more details Alex, this is SAC budget and contract.

Reading the SAC email list I can see the quote discussed, and the decision made in last weeks meeting. I do not see a contract on the SAC email list.

Searching email a bit wider, there is private email to you dated 30 August subject “Re: Hosting proposal OSGeo website”. This is the result of the f2f action item to obtain a quote. This emails reads more like a quote and negotiation as you asked questions about capacity and the software stack used.

You may need to follow up for a contract for venka to sign?

Jody,

Since you're the lead contact with the vendor and we've passed the quote
back and forth with modifications, can you ask GetInteractive for the
final version as a document we can sign? I'm unclear how the previous
contract was written. Should I just ask Jeffrey Lasut for an official
quote on the 4 hours of migration work?

Normally I get an official quote from companies with a paragraph
describing the work and the itemized price, and consider that the
contract. Especially considering how small this task is now.

You do what you normally do, perhaps has for a clear letter with the updated items. I have sent you, venka and the contractor an email where you can make this request.

The sys admin committee should be pretty independent here (you have an approved budget) and you are following through on a motion made by your committee. The only reason to need venka is if you need something signed. I am concerned that we will go back and forth trying to figure out the right way to do things, when for this small an amount of work any way will work.

Aside: The contract we did with get interactive was for 50k and at the end of a long bidding process with many deliverables. I do not recommend using it as a guide!

(On the bright side “fine print” is not required in their country so we could understand the resulting contract).

Ok, sounds like because it's a one time small fee and not an ongoing
contract SAC can handle it without the board needing to get involved.
